Receiving operative notes

Operative notes arrive in every format imaginable. Synaipse meets them where they are: keep using the channels your practice already relies on, and we’ll capture, read, and process each note automatically. You can enable as many channels as you like — most practices use a mix.

Choose your channels

Channels

Fax

Route inbound faxes to a dedicated Synaipse number — notes are captured and processed automatically, no scanning or filing required.

Email

Forward or send operative notes to a secure Synaipse inbox, including attachments and embedded documents.

File upload

Drag and drop PDFs, scans, and images directly into the Synaipse dashboard for immediate processing.

EHR integration

Connect your EHR so operative notes flow into Synaipse as soon as they are signed — no manual export needed.

What happens after a note arrives

No matter the channel, every note enters the same pipeline: it’s captured, matched to the right patient and encounter, read for clinical detail, and coded. You don’t need to sort, rename, or pre-process anything — send the note as-is.

Synaipse handles messy inputs by design. Multi-page faxes, scanned handwriting, mixed batches, and notes with cover sheets are all processed automatically. If a document can’t be matched or read confidently, it’s routed to your worklist rather than dropped.

Security & compliance

All channels are HIPAA-compliant and encrypted in transit and at rest. Synaipse operates under a Business Associate Agreement (BAA), and access to protected health information is restricted to authorized members of your organization. See your workspace administrator for details on your agreement.
